CAES Analytics & Reporting

CAES Analytics and Reporting (A&R) provides comprehensive services in data management and reporting. A&R Staff compile information for federal, state, university, and other accountability reports, offer assistance and training for CAES databases, and support various reporting databases and processes. The department coordinates NIFA Capacity Grant reporting including Hatch, Hatch Multistate, and Smith-Lever projects, assists with CAES ListServs and Personnel Database, and provides support for data custodians. A&R Staff also create customized reports, assist in budget development and account reconciliation for the college's departments, and maintain human resources reports, facilitating informed decision-making across CAES.

Federal Reporting

  • Each year, CAES, in collaboration with FVSU's College of Agriculture, Home Economics, and Allied Programs, submits two reports to the USDA National Institute of Food and Agriculture (NIFA) based on work performed using Hatch, Evans-Allen, Smith-Lever 3(b)&(c), and 1890 Extension funds. The Agricultural Research, Extension, and Education Reform Act of 1998 (AREERA) mandates these reports to receive federal funding.

The CAES A&R Staff prepare both the Federal AREERA Accomplishment Report and the Federal AREERA Plan of Work. These reports are compiled using Capactiy Grant reporting and other sources, eliminating the need for faculty to maintain individual Plans of Work in GaCounts.

The Federal AREERA Plan of Work, submitted each April 1st, outlines research and extension plans for a rolling five-year period and is updated annually. The Federal AREERA Accomplishment Report details the previous fiscal year's activities and outcomes.

  • What is a CEU?

The Continuing Education Unit (CEU) is the measurement of non-credit continuing education activities. They are nationally recognized standards for documenting successful completion of non-credit programs and courses intended to improve the knowledge and skills of working adults.

One CEU represents 10 contacts hours of experience in a structured CE experience (class, seminar, retreat, practicum, etc) under responsible sponsorship, capable direction, and qualified instruction.

A contact hour is one hour of interaction between a learner and instructor, or between a learner and materials.

    Ineligible Activities

Academic credit courses, association membership and leadership activities, committee meetings, entertainment and recreation, individual scholarship, mass media programs, travel, unsupervised study, work experience, youth programs

    CEU Summary

The following chart summarizes the three categories of educational activities whereby university system members develop, deliver, evaluate and report activities.

CEU Type  Institution kows content  CEU awarded  Assessment of learning objectives Evaluation of program Permanent record of program/participants maintained

    CAES Quarterly CEU Report

Each quarter, A&R Staff use GaCounts and Elements data reported by Cooperative Extension to report the number of CEUs and Educational Contact Hours presented.

    Report Types:
    • Ga Counts: Presentation Adult, Standard CEU Program Adult
    • Elements: Educational/Outreach Presentation
CEU Categories: CAES reports Category 1 & 3 CEUs. If a Ga Counts record shows any number of CEUs granted, it is considered a CAT 1. Elements data is reported based on the CEU category distinguished by the reporter.

    Metrics:
    • # of Programs (# of sessions associated with unique report ids)
    • # of Participants (report-level face-to-face contacts from Ga Counts & participants from Elements associated with unique report ids)
    • Hours of Instruction (Hours of Formal Instruction Received from You field from Ga Counts & Contact Hours field from Elements associated with unique report ids)
    • ECH (# of participants multiplied by hours of instruction)
    • CEUs (ECH divided by 10)
